Job Purpose

This role is for a warm, polished, and proud individual to become the welcoming face of plan.com. Our building is one of the most impressive on the Isle of Man, and you will be the person who brings it to life every single day. As the first point of contact for everyone who walks through our doors, you will set the tone for the plan.com experience from the moment people arrive.

This position is suited to someone who takes genuine pride in their environment, enjoys making people feel welcome and consistently represents the business with professionalism and positivity.

Main Duties and Responsibilities

Meet & Greet

  • Welcome all visitors, clients, and employees in a warm, professional and friendly manner
  • Manage the front entrance, ensuring access is secure, controlled and handled confidently
  • Maintain visitor logs and manage sign-ins in line with building security procedures
  • Act as the calm and capable first point of contact for anyone entering the building

Building & Ground Floor Presentation

  • Take ownership of the ground floor environment, ensuring it remains immaculate and visually impressive at all times
  • Enhance the space through seasonal touches, displays, and consistently high presentation standards
  • Ensure ground floor meeting areas are prepared and ready for use when required
  • Manage and maintain the office tuck shop, ensuring it is well stocked, organised and appealing
  • Handle tuck shop cash transactions accurately and maintain records for the finance team
  • Create seasonal or themed décor to enhance the front-of-house experience
  • Monitor the wider building throughout the day, flagging any issues and coordinating with relevant teams to resolve them
  • Support hospitality requirements including refreshments and supplies for meetings or events

Safety & Compliance

  • Maintain an up-to-date record of colleagues qualified in First Aid and coordinate certification renewals
  • Support fire safety procedures following completion of company fire safety training
  • Ensure visitor access and security procedures are followed consistently

Knowledge, Skills and Attributes

Essential

  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong organisational and multitasking abilities

Desirable

  • Experience setting up meeting rooms and coordinating meetings
  • Experience with travel bookings or itinerary planning
  • Experience assisting with events or internal communications

Education and Qualifications

Desirable

  • GCSEs (or equivalent) in English and Maths
  • Administrative, customer service, or hospitality training
